This Privacy Policy describes how WiseBI ("WiseBI," "we," "our," or "us") collects, uses, and discloses your personal information when you use our website, services, dashboards, reports, analytics platforms, and related tools (collectively, the "Service" or "Platform"). It also explains your privacy rights and how the law protects you.

WiseBI provides a fully integrated, AI-powered business intelligence solution for CargoWise users in the logistics and supply chain industry. Our platform delivers personalized dashboards, reports, and analytics that transform complex CargoWise data into actionable business insights. Our expertise is strongly focused on CargoWise Next.

We help freight forwarders, customs brokers, logistics service providers, shipping partners, and supply chain organizations transform their CargoWise ERP data into actionable insights.

By using WiseBI, you ("User" or "you") agree to the collection and use of information as described in this Privacy Policy. This is a business-use service designed for logistics professionals and organizations.

1. Who Shares Their Data With Us

We collect data from various individuals and entities who interact with WiseBI's services. For clarity, "you" may fall into one of the following categories:

  • Clients and Customers: Organizations or individuals who use WiseBI's BI dashboards, analytics reports, and data intelligence services for CargoWise.
  • Users and Team Members: Employees or representatives of our clients who access our dashboards, reports, and analytics platforms to monitor shipment performance, revenue trends, customer data, and KPIs.
  • Vendors and Partners: Freight forwarders, logistics software vendors, ERP integration partners, data providers, and logistics service providers who interact with our platforms or integrations.
  • Website Visitors: Individuals who visit wisebi.com, download resources such as ebooks, case studies, or glossaries; subscribe to our newsletter; or engage with us via email, contact forms, or social media.
  • Consultants and Advisors: Individuals who advise on CargoWise, BI strategy, data analytics, or logistics optimization matters.
  • Business Contacts: Representatives of companies we work with for partnerships, ERP integrations, or vendor relationships.

Regardless of which category you fall under, this policy covers how we handle your data.

2. Interpretation and Definitions

Words with capitalized initial letters have specific meanings defined below. These definitions apply whether the terms appear in singular or plural form.

  • Account: A unique account created for you to access our Service, BI dashboards, analytics reports, or consulting services.
  • Company: Refers to WiseBI, a brand of Digital Hoop Technologies Private Limited, with offices in Chennai (India), Coimbatore (India), Dallas (USA), Meknes (Morocco), and Singapore (also referred to as "we," "us," or "our").
  • Personal Data: Any information that relates to an identified or identifiable individual, including business contact information, company details, IP addresses, device identifiers, and usage patterns.
  • Logistics Data: Information related to shipments, freight movements, customs documentation, bills of lading, invoicing, revenue, customers, and supply chain operations that we process on behalf of our clients via BI dashboards and reports.
  • BI Dashboard Data: Business intelligence metrics, KPIs, analytics reports, visualizations, and insights derived from CargoWise and rendered through WiseBI's visualization layer, which is built on Microsoft Power BI and Tableau.
  • Service Provider: Third-party companies or individuals that process data on behalf of WiseBI to help provide the service, including hosting providers, analytics services, ERP vendors, and data integration partners.
  • Third-Party Integration: External systems and platforms, including CargoWise, that connect with our BI platform to supply source data for dashboards and reports.
  • Usage Data: Data collected automatically when you interact with our service, including device information, IP addresses, browser details, pages visited, dashboard features used, and timestamps.

3. Personal Data We Collect

We collect several types of information from and about users of our service:

3.1Information You Provide Directly

When using WiseBI services, you may provide the following:

  • Contact Information: Name, email address, phone number, company name, job title, and business address.
  • Account Details: Registration information, profile data, company details, logistics platform (ERP) type, branch or office structure, and operational reporting requirements.
  • BI Dashboard Configuration Data: When using our platforms, portals, or API connections, you may submit or authorize access to CargoWise Next branch structures, cost centers, department mappings, reporting hierarchies, and ERP connection credentials (stored encrypted).
  • Communication Data: Content of emails, support tickets, feedback forms, newsletter subscriptions, and inquiries sent to us.
  • Configuration Data: Dashboard customizations, report preferences, alert settings, and data connection configurations for your logistics ERP systems.

3.2Data Collected Automatically

When you visit wisebi.com or use our platform, we automatically collect the following:

  • Usage Data: Device information, IP addresses, browser details, pages visited, dashboard features used, report generation activity, and timestamps.
  • Performance Data: Dashboard load times, data refresh metrics, feature engagement patterns, and error reports used to optimize our platform.
  • Cookie and Tracking Data: Via Google Tag Manager (GTM-M9L35Q7M) and the LinkedIn Insight Tag (Partner ID: 6849538) as described in Section 6.

3.3Data We Process on Your Behalf

As a BI service provider, we access and process logistics data directly from your ERP systems on your instruction:

  • Logistics Metrics: Shipment volumes and tradelane data, revenue and gross profit figures, customer contribution and retention data, financial KPIs (P&L, Balance Sheet), operational performance metrics, and accruals data extracted from CargoWise. This data is processed and visualized using Microsoft Power BI and Tableau to generate the dashboards and reports delivered to you.

This data is processed strictly on your behalf under a data processing agreement and is not used for any purpose other than delivering your contracted BI services.

4. Data Protection Officer and Privacy Contacts

WiseBI has appointed a Data Protection Officer (DPO) to oversee compliance with data protection laws and handle privacy-related inquiries. All privacy-related communications can be directed to support@wisebi.com.

For Indian users, we have also designated a Grievance Redressal Officer as required under India's Digital Personal Data Protection Act, 2023, and the Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021, reachable at the same email address.

5. Automated Decision-Making and Profiling

WiseBI does NOT use automated decision-making (including profiling) that produces legal effects or similarly significant effects on you. We do not use algorithms or AI to make decisions about:

  • Pricing adjustments or creditworthiness assessments
  • Service eligibility or access restrictions
  • Contract performance modifications
  • Client categorization that affects service terms
  • Employment or client onboarding decisions

Limited Analytics for Service Improvement

We use aggregated analytics to understand platform usage patterns (e.g., most-used dashboard features, report types, platform performance) for the purpose of improving our BI solutions. This processing does NOT affect your account status, pricing, or access to services.

You have the right to object to this processing at any time by contacting support@wisebi.com. Once we receive your objection, we will cease processing your data for this purpose.

7. Data Breach Notification

In the event of a personal data breach that poses a risk to your rights and freedoms, we will comply with applicable notification requirements:

EU/UK Users (GDPR Compliance)

  • Supervisory Authority Notification: Within 72 hours of becoming aware of a breach, we will notify the relevant supervisory authority (e.g., the ICO for UK users or the lead EU supervisory authority).
  • Individual Notification: Without undue delay, if the breach poses a high risk to your rights and freedoms, we will notify affected individuals directly.
  • Breach Details: We will inform you of the nature of the breach, the categories of data affected, likely consequences, and the mitigation measures we have taken.

US Users (State Privacy Laws)

  • California (CCPA): Notification within the timeframe required by California Civil Code § 1798.82.
  • Other States: Compliance with applicable state breach notification laws, including Texas, Virginia, Colorado, and other states with active data breach notification obligations.
  • Method: Email notification to your registered email address and a prominent notice on wisebi.com.

India Users (DPDP Act Compliance)

  • Data Protection Board Notification: As required under the Digital Personal Data Protection Act, 2023, we will notify the Data Protection Board of India of any significant personal data breach.
  • Individual Notification: Prompt notification of affected users with details of the breach and the remedial actions taken.

8. California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have specific rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA):

  • Right to Know: Request disclosure of personal information we have collected about you in the past 12 months, including the categories of sources, purposes of collection, and categories of third parties with whom we share it.
  • Right to Delete: Request deletion of your personal information (subject to legal exceptions, such as where retention is required to complete a transaction or comply with a legal obligation).

Do Not Sell or Share My Personal Information: WiseBI does NOT sell personal information to third parties for monetary consideration. We do not share personal information for cross-context behavioral advertising.

If this changes in the future, we will:

  • Provide a prominent "Do Not Sell or Share My Personal Information" link on our homepage
  • Obtain explicit opt-in consent before selling or sharing your data
  • Honor all opt-out requests within 15 business days

10. Data Retention Schedule

After retention periods expire, we securely delete or anonymize data in accordance with industry best practices (DOD 5220.22-M standard for data sanitization). Where data is anonymized rather than deleted, the anonymized data may be retained indefinitely as it no longer constitutes personal data.

WiseBI incorporates privacy by design and privacy by default principles into our platform development and operational processes.

  • Data Minimization: We collect only the minimum personal data necessary for each specific purpose. BI dashboards are designed to aggregate and anonymize logistics metrics wherever possible, reducing exposure of individual-level personal data.
  • Purpose Limitation: Data is used only for the purposes disclosed at the time of collection. Logistics data provided by clients is processed exclusively to generate the contracted BI dashboards and reports and is never used for any secondary commercial purpose.
  • Privacy-Protective Defaults: Platform settings default to the most privacy-protective options, including minimal data sharing, analytics opt-out, and restricted data access. Users must actively opt in to expanded data sharing or analytics features.
  • Pseudonymization and Anonymization: Where feasible, we replace identifying data with pseudonyms or aggregate logistics data into summary-level metrics, ensuring that BI reports do not unnecessarily expose underlying personal data.
  • Data Protection Impact Assessments (DPIAs): Conducted for high-risk processing activities before deployment, particularly where new ERP integrations, data sources, or analytics features are introduced.
  • Security-First Architecture: Encryption, role-based access controls, and continuous monitoring are built into our platform from inception, not added retrospectively.
